Position Responsibilities

Position Summary

Responsible for maintaining laboratory compliance with the quality management system and regulatory agency standards of performance. Maintains the standard operating procedure documentation system and staff training records; reviews SOPs for compliance with quality assurance standards, and conducts internal audits. Serves as primary contact and resource for external audits.

Responsible for various financial and budgetary activities including maintaining financial records; accounts receivable and accounts payable; reviewing budget reports, preparing budget summaries and annual budget projections.


Job Duty Function

Serve as Quality Assurance Officer by:

Maintaining and documenting laboratory compliance with the quality management system including maintaining the standard operating procedure documentation system and staff training records; reviewing SOPs for compliance with ASL standards; conducting internal audits; and serving as primary contact and resource for external audits.

Job Duty Function

Manage budget and financial activities by:

Job Duties/Responsibilities

Communicating with CALS Administrative Services to track status of accounts, departmental purchase orders, interdepartmental charges, and budget transfers. Processing and maintaining credit card records; receiving and processing payments; filing of packing slips and various documents to departmental budget files; approval of vendor payments. Prepares invoices for clients, mails test reports, and updates case status in laboratory database (LIMS).

Provide general office support by:

Answering and routing telephone calls using independent judgment and program knowledge; assisting in the management of ASL office activities including photocopying, faxing, preparing materials for mailing, securing maintenance for general office equipment, and ordering office supplies.

Provide budget planning support by:

Using university budget reports and ASL internal budget information to prepare budget summaries and periodic fiscal year budget projections.

Position Qualifications

Minimum Qualifications

-Good knowledge of: financial record keeping methods; office support functions including word processing and filing; operation of common office equipment including copier and fax machines; rules of effective business English usage, spelling, punctuation and grammar; composing and proofreading standard business correspondence such as memos and form letters; and basic math skills.

-At least six months experience in managing financial information and preparing summaries and reports; using personal computers and spreadsheet software to enter, retrieve, and edit financial data; reviewing documents for compliance with established procedures and to determine errors or omissions; answering a business telephone using proper procedures and etiquette; using alphabetical, numerical, and subject filing systems.

- Demonstrated ability to coordinate and balance workload for multiple tasks and Interact with laboratory visitors and clients in a professional and businesslike manner; and

maintain confidentiality.

Preferred Qualifications

Bachelor’s degree in scientific discipline

Good knowledge of:

-UI policies and procedures.

-Principles of laboratory quality assurance

-Quality assurance standards such as ISO 17025 and AAVLD

Experience in:

-Laboratory Information Management Systems (LIMS)

Ability to:

-Act independently and exercise initiative.

-Use good oral and written communication skills.
