The University of Tennessee, Knoxville, (UT) invites applications and nominations for University Registrar position. UT is seeking candidates who have the ability to contribute in meaningful ways to the diversity and intercultural goals of the University.

The Enrollment Management (EM) division comprises more than 150 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, University Registrar, EM Communications, and the Veterans Resource Center.

Duties/Responsibilities:

The Registrar serves as the University official responsible for the creation, maintenance and certification of all student records and ensures that business processes and associated training and documentation result in accurate and complete collection of data. Responsible for building strategic working relationships with University leaders and key stakeholders, the Registrar serves as a key partner in contributing to the creation, execution, and outcomes of the university’s undergraduate strategic enrollment plan.

The University Registrar serves as advisor and consultant in all matters regarding curricular structure and degree completion. Consulting with key administrators, the Registrar develops and monitors academic calendars and facilitates an effective student registration process. The Registrar builds secure student data files; creates policy and procedures; manages efficient use of classrooms, supervises and maintains the registration, withdrawal and degree audit system.

The University Registrar provides oversight and management of daily operations in the Office of the Registrar department. The Registrar monitors team's core functional efforts, proactively addressing work flow, work distribution and/or staff performance. This role is responsible for coaching, mentoring and assisting with individual team members' goal development and supports professional development for the department as a group as well as individual team members.

The University Registrar serves as the primary role having oversight and leadership in implementing and enforcing the University's policies and protocol regarding the use, dissemination, integrity, security, privacy of student information, as well as applicable federal and state law and regulations including the Family Education Rights and Privacy Act (FERPA).

Accountabilities:

  • Oversight of budget, supervision of staff and daily operations.
  • Development of short and long-term strategies that meet the goals of the department and division in alignment with the University’s priorities and mission through collaboration with Enrollment Management and University key stakeholder groups.
  • Oversight of implementation of the strategies, measuring effectiveness on an ongoing basis.
  • Serve as key partner in contribution to the creation, execution and outcomes of the University’s undergraduate strategic enrollment plan.
  • Collaboration with the Office of Enrollment Management data group and Office of Information Technology to provide data in support of day-to-day operations.
  • Provide data analysis information to leadership to support academic and administrative decisions.
  • Uses internal data to inform planning and integrate emerging technologies and best practices to maximize operational efficiencies. 
  • Recommendation and leadership for initiatives in support of technological operational enhancements to improve the student experience, processing systems and data integrity.
  • Oversight and leadership in implementation and compliance of the University’s policies and protocol and applicable federal and state law and regulations, including the Family Education Rights & Privacy Act (FERPA).

Required Qualifications:

  • Master’s degree
  • A minimum of 5 years of progressively responsible and demonstrated leadership experience in the successful management and administration of a comprehensive registrar's office as Registrar, Senior Associate Registrar, Associate Registrar or equivalent in a college or university registrar unit.
  • A minimum of 5 years supervisory experience.
  • Experience developing strategies that align with current issues and trends in admission and registrar operations.
  • Experience supporting student-centered and/or customer-centered operations within complex organizations, policies, process and systems is necessary to be successful in the role.
  • Experience with statistical analysis related to student enrollment, retention and graduation.

Preferred Qualifications:

  • Experience with Banner student information system and On-Base Document Imaging system.
  • Previous experience working with federal and state guidelines related to registrar and admissions policies within higher education is highly desired.
  • Active participation in state and national admissions/registrar stakeholder organizations preferred. 

Knowledge, Skills & Abilities:

  • Demonstrated ability to maintain the highest standards of customer service in efficient, effective and engaging ways.
  • Evidence of experience with budget oversight.
  • Demonstrated leadership of teams and programs with a strong service orientation.
  • Demonstrated competence collaborating with students, faculty, staff, administrators and university and college leadership.
  • Highly developed oral and written communication skills.
  • Ability to manage complex operations and systems, specifically a student information system and document imaging system.
  • Ability to lead ongoing process analysis and improvements related to technology and customer service.
  • Evidence of experience with documentation of process, procedures and workflow.
  • History of building collaborative relationships at all levels of the University.
