Associate, International Community & Economic Engagement (ICEE) and Governmental Affairs (GA)

Summary

The Association of Public and Land-grant Universities (APLU) is seeking an Associate to provide logistical and administrative support to the Office of International Community & Economic Engagement and the Office of Governmental Affairs. The incumbent will perform a broad array of administrative tasks to ensure effective office and project operations including planning conferences, webinars, and meetings; record keeping; managing on- and off-site meeting logistics; scheduling meetings and coordinating calendars; and overseeing the payment of invoices. The successful candidate will have excellent oral and written communications skills, be able to manage time and multiple projects efficiently, and possess organizational and planning skills with a keen attention to details. This full-time position is based in Washington, DC. APLU staff must reside in DC, MD, or VA, be up-to-date with their COVID vaccinations, and pass standard background checks. Background

APLU is a research, policy, and advocacy organization dedicated to strengthening and advancing the work of public universities in the U.S., Canada, and Mexico. With a membership of 245 public research universities, land-grant institutions, state university systems, and affiliated organizations, 's agenda is built on the three pillars of increasing degree completion and academic success, advancing scientific research, and expanding engagement. Annually, member campuses enroll 5 million undergraduates and 1.3 million graduate students, award 1.3 million degrees, employ 1.3 million faculty and staff, and conduct $49.2 billion in university-based research.

The Office of International, Community, and Economic Engagement (ICEE) was established to lead and coordinate two key pillars of the association: 1) international engagement, and 2) expanding economic and community engagement. Specific to the second pillar, it supports university efforts that promote innovation and technology-driven economic development, talent and workforce development, and place development through public service, outreach, and community engagement. The office helps develop and share effective practices in these three realms of engagement frequently focusing on how institutions partner with entrepreneurs, small businesses, major corporations, community organizations, state and local government, national associations, and economic development organizations. The office also coordinates the Innovation & Economic Prosperity (IEP) designation program to help universities better know, measure, tell, and enhance their economic and community development impact. ICEE helps senior university leaders, their staff and partners imagine and then realize a shared vision for healthier and more globally engaged citizens, thriving economies and other outcomes that lead to a better tomorrow both locally and globally. Additionally, the office convenes the association’s Commission on Economic and Community Engagement (CECE) which brings together senior decision makers at universities who are responsible for the institutions’ work in economic engagement. CECE serves as a premier national forum for economic and community engagement issues.

APLU’s Office of Governmental Affairs leads the association’s engagement with Congress and the Administration to advance policy that furthers the ability of public universities to impact society through their education, research and community engagement missions. As a membership association with institutions in all 50 states, APLU is uniquely positioned to effectively advocate for its policy priorities. APLU’s advocacy is conducted in close collaboration with member institutions through its Council on Governmental Affairs, which consists of university federal relations officers.

Responsibilities

Office of International Community & Economic Engagement (ICEE) – 60%

· Provide general administrative support for the Office of International Community & Economic Engagement (ICEE), including scheduling meetings, notetaking, agenda management, assisting with contract administration, etc.

· Support the logistics, planning, and administrative aspects of project meetings (in-person and virtual), including notetaking, resource preparation, agenda management, refreshments, hotel accommodations and contracts etc.

· Maintain records within APLU and ICEE knowledge management platforms and client relationship management systems (CRM). Distribute messages through an email marketing software (Marketo) as needed. Maintain listservs and the GA membership directory.

· Draft and edit documents, emails, and other communications. Take and distribute meeting notes as needed.

· Coordinate grant partners’ completion of quarterly, annual, and final reports.

· Support ICEE’s strategic communications plan to engage membership (through social media and web-related communications) through social media, newsletters, and other promotional materials. Assist in the development of content and maintenance of webpages and databases.

· Provide administrative support related to office and project finances and reporting, including tracking invoices, reconciling grant expenditures, drafting and coordinating vendor and sub-award agreements, and support in management of reporting requirements from vendors and sub-awardees.

· Serve as an initial point of contact for inquiries for the Innovation & Economic Prosperity (IEP) program and relay questions or requests to appropriate staff.

· Participate as an integral member of the ICEE team and APLU employee, and contribute to an inclusive, welcoming, and collegial workplace.

· Provide other administrative and logistical support as needed to support the goals and objectives of the projects, the offices, and APLU.

Office of Governmental Affairs (GA) – 40%

· Provide general administrative support for the Office of Governmental Affairs (GA), including scheduling meetings for the Vice President and Associate Vice President, notetaking, agenda management, submitting AMX reports, etc.

· Support the logistics, planning, and administrative aspects of project meetings (in-person and virtual).

· Maintain records within Council on Governmental Affairs member lists and client relationship management systems (CRM). Distribute messages through an email marketing software (Marketo) as needed. Maintain listservs and the GA membership directory.

· Draft and edit documents, emails, and other communications. Take and distribute meeting notes as needed.

· Participate as an integral member of the GA team and APLU employee, and contribute to an inclusive, welcoming, and collegial workplace.

· Provide other administrative and logistical support as needed to support the goals and objectives of the office and APLU.

Preferred Qualifications

· A bachelor’s degree or equivalent professional administrative support experience. Work experience at a college/university, a higher education organization, a non-profit organization, or a non-profit involved with relevant issues is a plus.

· Excellent communications skills, verbally and in writing.

· Demonstrated organizational skills. Ability to balance multiple, complex tasks and priorities, to resolve problems, to meet important deadlines, and to recognize potential issues and bring them to the attention of the appropriate team members.

· Experience planning and coordinating events, including workshops, webinars, and conferences.

· A keen attention to detail.

· Excellent interpersonal skills and ability to navigate relationships with individuals from diverse backgrounds.

· The ability to maintain poise, professionalism, focus, consistency, and accuracy under pressure.

· Experienced and skilled in the use of Microsoft office products (especially Excel), social media, Zoom, and web-based research and information tools. Experience using a customer relations management (CRM) system and databases a plus. Comfort using and learning new technologies.

· Demonstrated ability to work both as part of a team and independently, taking direction from and communicating with multiple team members to keep track of activities and priorities on multiple projects.

· Commitment to the work of ICEE, GA and APLU.

· Ability to travel domestically as needed.
