Project Staff Assistant - Operations Coordinator (R22-30)

The Professional Development Program (PDP) of the University at Albany’s Rockefeller College seeks a service-minded individual who is committed to performing high-quality work to fill a Project Staff Assistant-Operations Coordinator position in Albany, New York.

 

Description of Duties:

The Project Staff Assistant-Operations Coordinator will assist with coordinating the financial and organizational support functions within a high performing continuing education program with a multi-million-dollar annual portfolio of contracts and grants serving federal, state, and local sponsors in the public sector. This position primarily facilitates the human resources and personnel transactions within PDP, while also supporting regular fiscal transactions to support funded projects. Duties include but are not limited to: assisting with recruiting, search, and appointment processes, new hire orientations and separations of employees, labor distributions, and change forms; preparing and updating human resources and finance and project support related forms, reports, databases, and intranet; providing support for the development of new contracts and grant applications; providing support for the development and preparation of reports for contract sponsors and PDP management; assisting with the review of purchase and travel requisitions and payments; and assisting with the annual project year-end closeouts and PDP Annual Report.

 

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree from a college or university accredited by a USDOE or internationally recognized accrediting organization with a concentration in finance, business administration, management, or a related field.
  2. One to three years’ human resources experience.
  3. Ability to maintain a high degree of confidentiality.
  4. Strong computer skills, particularly with Adobe and Microsoft Office products, including MS Excel and MS Access.
  5. Familiarity with financial management, reporting, and analysis.
  6. Excellent interpersonal, oral, and written communication skills.
  7. Applicants must address in their applications their abilities to work with a culturally diverse population.
  8. Demonstrated commitment to excellence in customer service.
  9. Ability to function without extensive task-by-task supervision.
  10. Ability to perform multiple tasks often under tight deadlines and manage projects to a successful completion.
  11. Strong problem solving and organizational skills with strict attention to detail.
  12. Demonstrated ability to lead or mentor in a team setting.

 

Preferred Qualifications

  1. Master’s degree from a college or university accredited by a USDOE or internationally recognized accrediting organization with a concentration in finance, business administration, management, or a related field.
  2. Three years’ experience in financial management and analysis.
  3. One to three year’s supervisory experience
  4. Experience working in a continuing education or other educational environment.
  5. Knowledge of Research Foundation and SUNY policies and procedures.
